Information we collect
We collect identity and contact details, property address and postcode, mapping-consent choice, design briefs, approximate measurements, photographs and documents you upload, order and payment status, customer-account sign-in records, support messages, OREA build enquiries, project-credit records, and technical security information. Stripe processes card information; we do not receive or store your full card number.
Why we use it
- To provide the requested design and manage the contract.
- To provide password-free account access and show purchases linked to your verified email.
- To answer enquiries and provide support.
- To prevent fraud, secure the service and keep necessary business records.
- To allow OREA Properties—the same legal operator—to assess build enquiries when you request this.
- To meet legal, tax and accounting obligations.
Service providers and transfers
We use service providers for hosting and storage (Cloudflare), payments (Stripe), transactional email and the support assistant (OpenAI). They process data under their own safeguards and contracts. Where personal data is transferred outside the UK, we use an appropriate legal safeguard.
Customer accounts
Account access uses short-lived email links and secure session records. Purchases are matched to the verified email used at checkout. Never forward a sign-in link to another person. Sign-in and security records are retained only as needed to protect the account and service.
Support assistant
Do not type sensitive information, payment details or detailed property-security information into the assistant. Assistant conversations are sent to OpenAI only to generate a response; the application requests that model responses are not stored. Security and infrastructure logs may still be retained for limited periods by relevant providers.
Retention
Our proposed operational periods are: enquiries for 12 months; order and accounting records for 6 years; project files for up to 24 months after delivery; and short-lived authentication links until they expire or are used. We may keep information longer where a dispute or legal obligation requires it.
Your rights
Depending on the circumstances, you may ask for access, correction, deletion, restriction, portability or objection, and may withdraw consent. Email support@orea.co.uk. You may also complain to the UK Information Commissioner’s Office.
Property address and public imagery
When you opt in, we may use the supplied property address to consult publicly available street, mapping or aerial imagery solely to understand general external context and support the design brief. We record your consent choice. We do not treat public imagery as a measured survey, and it may be unavailable, obscured, inaccurate or out of date. Address details and imagery context are shared only with staff and service providers who need them for the requested design, support visit or build enquiry.
Photographs
Before uploading, move personal documents, faces, security codes and other unnecessary private details out of view. Only upload material you have the right to share.
